A stuck printer leads one techie to discover a different issue: a teacher's questionable Web browsing history

A few years back, I was providing tech support for an elementary school in Mexico. The teachers and staff were not particularly tech savvy. The problems I got called in for included even basics such as formatting Word documents or troubleshooting Internet connections.

One day fairly late, I received a call that the printer in a classroom would not work, no matter what they tried.

By the time I showed up, all the students and most staff were gone, including the teacher whose classroom housed the troublesome printer. Another teacher showed me which printer was causing problems and which computer was hooked up to it.

I started by trying to print some test documents -- with no luck. But very soon, I found the real problem: The printer application was stuck with several documents in the queue. For the sake of decency, I shall omit the real names of the documents. Let's just say there were about 15 pictures of "hot Latinas" waiting to print.

I asked the teacher about the owner of the computer. He said that the teacher in the classroom usually stayed after hours, working late.

The stuck printer queue was the first clue I had of the teacher's after-hours activities. I quickly fixed the printer problem, then started building a report about what the teacher was looking at, including the time of day. The cookies and cache revealed a lot of inappropriate websites he visited on an almost daily basis after school hours. Then I submitted the report, including screenshots and timestamps, to the principal.

Understanding How an Inkjet Printer Works

Computer printers are great when they work correctly, but when they do not work as they should, they can become a real source of frustration. If you know how an inkjet printer works, then you are likely to have fewer problems with it and you are more likely to be able to make simple repairs to the printer yourself.

Inkjet printers are the cheapest printers that you can buy, and because of this many people elect to purchase them instead of the more expensive laser printers. An inkjet printer places very small droplets of ink onto a page that it is printing. The droplets are so small that they are nearly invisible to the naked eye. It is by putting a number of these tiny droplets together that you can see an image or print on your printed page.

The inkjet printer, and other printers like it, never actually touches the piece of paper where it is printing. Instead the inkjet printer uses a series of nozzles to spray the ink onto the page, and thus gives you the final image that you see on the paper.

Since inkjet printers never actually touch the paper they are considered to be "non-impact printers". Typewriters on the other hand used a solid impact to place the image on the page. The actual shape of the letter or number from a bar on the typewriter would hit a ribbon and push the ink onto the page.

There are a variety of other types of non-impact printers, but many of them are rarely used or are considered too expensive. Often, you can find an inkjet printer for under $50 and this helps make the inkjet printers more appealing to most consumers.

Inside the printer you will find many different parts. The print head is the main part of the printer; it contains a series of nozzles that spray the ink onto the paper. There is also a print head stopper motor that moves the print head back and forth across the paper while printing. A belt attaches the print head to the print head stopper motor, and a stabilizer bar is used to stabilize the print head.

Inside the printer you will also find the paper feeder and the paper rollers as well as a paper feeder stepper motor. The paper feeder stepper motor synchronizes the movement of the paper with that of the print head so that the images that are printing appear on the correct place of the page. For people who have never used a computer printer before, the main things they are interested in when learning is how to load the paper and how to replace the ink cartridges. For the average computer printer owner, these are the only maintenance tasks they will need to carry out during the life of the printer.

The actual ink cartridges will vary according to the particular model and brand of printer that you have. Some brands have one ink cartridge for black and one for all other colors; some printers have only one cartridge that contains all colors, including black. Yet, other models will have a separate ink cartridge for every primary color.

When you buy a new printer, be sure and read the box to see if the printer comes with ink cartridges or not. It would seem apparent that every new printer would come with ink cartridges included, but that is just not the case. When you do have the need to replace the ink cartridges, you want to be absolutely sure that you get the correct replacement cartridges. Different brands and models of printers use different ink cartridges. I have found it best to remove the old ink cartridge and check the part number to be absolutely sure that I get the correct replacement ink cartridges for my printers.

How to Repair Inkjet Printer

The following are some inkjet printer repair tips and steps, based on certain problems related to the printer.

Printed Output Quality
When a printed page looks nothing like what you imagined, it's time to check under the printer's hood. Print quality problems that you could face include:

    Lighter print color in images, white lines or spots are present
    Spots or deep blotches of color in certain areas
    Lines are not straight and seem jagged
    Poor color quality, sometimes too dark or too bright colors are produced
    Certain colors are missing

Most image or print quality issues are to do with the cartridge, especially in the case of color printouts. The color will fluctuate in tones, your pictures might end up more blue than normal etc all signs that the cartridge is running low. So you may have to replace the entire cartridge or if allowed, just specific ink wells.

☛ Power on the printer and lift the top cover, then wait for the mechanical arm to bring the cartridges to the front. Very gently, with minimal force, tilt the cartridge forward and lift it out. Keep it aside.

☛ Using a lightly-dampened cloth, clean the cartridge carrier or print head carrier, where the cartridge were held. Remove ink pools and residue as well as dust. Clean the print head mechanism with a cotton swab or even a earbud.

☛ Now check the cartridges by shaking them. If you can hear ink sloshing around within, the cartridge is good for use. Else you need to use a new cartridge. Be very gentle through this entire process, do not rub any of the internal parts with force.

☛ Cleaning the print head helps with line alignment issues, but sometimes the printer head itself is misaligned. There is a line alignment utility located in your printer software, run the tool to help with this issue.

☛ Printing at a lower quality-setting can help resolve color issues as well. Some printer quality issues can have nothing to do with the printer and all to do with the printout settings that you have specified. When testing for such defects, use the "print test page" option from your computer or if present on the printer.

Failure to Communicate
Sometimes your printer just will not turn on. Or a little orange or red light will blink at you. Such attitude means the printer and the computer are having a tiff, it's up to you to bring them together. Steps to follow:

☛ Are they physically connected? Check the power supply from the printer to the outlet. Disconnect connections, reconnect them and make sure they are tight. Try using a different power source. Turn off both the PC and the printer and leave them alone for some time.

☛ A message on your PC says "Printer not recognized" or "Printer not responding". Now this is usually a driver issue. The firmware on the printer has either become old or gone bad and needs to be updated. In case of connecting to a new PC or operating system, the driver is incompatible. To confirm, check out the Device Manager, you may see Other Devices, under which your printer's name is listed, with a yellow "?" or "!" mark. Time to head over to the manufacturer's site and download the latest driver, then update the printer. Check for error codes or messages and refer to your printer's manual for a solution.
