Laser Printer Troubleshooting

The first step when trouble-shooting a laser printer is to try to isolate the problem. Oftentimes, just cleaning the interior and exterior of the printer can be helpful. Do not submerge the printer in water. You may use a damp cloth to gently wipe down the outside of the printer, or better yet, use a cleaner specifically designed for electronics. To clean any dirt and debris from the inside of the printer, spray with a can of condensed air, making sure that there is a clear path for the debris to exit. Use a clean lint free cloth to continue removing the loosened debris if needed.

All laser printers generate very high internal temperatures and have the potential to overheat. To avoid this, a thermal fuse is incorporated in these printers to prevent them from overheating. If this fuse is faulty, the printer may get overheated and damaged or the fuse may signal the printer to stop printing even if the printer has not yet overheated.

If your laser printer prints dark spots, the cartridge may have excess toner. You need to run blank pages through the printer to absorb the extra toner.

If your printer prints blank pages, the toner may have either dried or almost empty in the cartridge. Shake the cartridge to free up any dried toner inside. If there is no toner, replace the cartridge. Ensure that the sealant tape has been removed from the cartridge before placing it in the printer.

For print-quality issues, most times, the printer's default settings will provide the best print quality and print speed for most jobs, but if you have special or unusual print quality needs, you can often customize the print quality settings. Make sure the Resolution Enhancement technology (REt) is On. When this feature is enabled, it refines the print quality of characters by smoothing out jagged edge. Choose Off if graphics, particularly scanned images, are not printing clearly. If a printer develops streaked print jobs, the roller or drum may need to be replaced.

One of the most common laser printer malfunctions is the paper jam. Most jams occur when the paper path is blocked or there may be a worn roller. Sometimes, you may think you have removed the jammed paper, only to find the printer is still not functioning properly, because of an overlooked small piece of paper that was not completely removed from the previous jam. Many times, the paper itself is the cause of the jam. Make sure you have properly installed the paper. Sometimes, improperly stored paper develops a curl before it is placed in the paper tray - this often leads to paper jams.

And have you ever experienced that printed piece of gibberish, that seems to endlessly go on and on? It can be caused by a number of things ranging from using an incorrect printer driver, or printing postscript codes to a printer that does not support it, or in some cases the printer cables may actually be loose. Check your cables, re-start your printer, or reboot the computer and the problem should be resolved.


Install Printer Without a CD

Many people have become frustrated over a lack of CD to install a printer. Now installing a printer without a CD does not have to be a difficult task. Just follow a few simple instructions and the printer can be installed.


1. Place the computer and printer next to each other and make sure that all the wires are connected to both the printer and the computer.
2. Turn the computer on and wait for it to boot up.
3. Plug the printer into the wall and then take the USB cord that is attached to the printer and plug it into the appropriate port on the computer.
4. Turn the printer on.
5. Click on "Start menu" and go to the "Control panel".
6. Find "Printers and hardware" box and click on it.
7. Take mouse and click "Add printer".
8. When you see "Welcome to the add printer wizard," hit "Next."
9. Click "Automatically detect and install plug and play printer" on the add printer wizard page. Click "Next."
10. Installing the printer will begin if the network can automatically detect it. Otherwise, the message unable to detect will pop up and you will be prompted to install the printer manually. Click "Next."
11. Select printer port. Use the recommended port for best set up options. Click "Next."
12. Pick manufacturer and printer. Click "Next."
13. Type a name or confirm name if it appears in the box and set printer as default printer if wish. Click "Next."
14. Print a test page to be sure printer is set up and online. Click "Next."
15. Receive a successful completion of installation of printer message. Click "Finish."

There are basic solutions to common printer problems like paper jams, printer driver problems, low ink problems and installation issues. Although printers are designed differently, most problems are common to all printers. Knowing some basic printer troubleshooting techniques is beneficial whenever you encounter problems with your device.


1. Ensure that the printer driver is installed. If you just purchased the printer or if you just had your operating system reinstalled, you also have to reinstall the printer driver for it to function properly.

2. Check the data cable and the power cable of the printer. They should be properly connected to their respective ports. If the data cable is not properly connected, the printer will fail to communicate with the computer.

3. Install a new ink or toner cartridge if you receive "low ink" errors on your screen whenever you print a document, or if the printouts have started to get blurry. Some printers require both the black and color cartridges to be replaced before it starts printing again. Make sure that the cartridge you are using is compatible with the printer and that it is not refilled or re-manufactured.

4. Use printer features such as "printer alignment," "print head cleaning" or "nozzle check" to avoid distorted, blurry or garbled printouts. Refer to the user manual of your printer for steps on how to access these features.

5. Clear the printing queue if the printer refuses to print any document. The computer may be having a difficult time reading which document to print so it stopped printing anything. If you are using Windows XP, click "Start" and then "Printers and Faxes." For Windows Vista users, click "Start," "Control Panel," "Hardware and Sound" and then "Printers." If you have Windows 7, open "Control Panel" and then "Devices and Printers." Double-click the name of your printer to display the printing queue. Delete the documents listed in the queue and try printing a document again.

6. Troubleshoot a paper jam error. Turn off the printer and turn it back on for the device to eject the jammed paper automatically. Some printers have an "eject" button that you have to press for the printer to eject the jammed paper. If this does not work, open the top cover of the printer and reach for any jammed papers inside.


Printer Maintenance

With the right care and maintenance, a quality printer can provide many years of trouble-free service, but it is important to care for that printer the right way. Like any piece of computer hardware, a printer requires specific maintenance, and if that maintenance is not performed, the useful life of the printer will be greatly reduced.

Cleaning the Ink Cartridges
If your printer is an inkjet or photo printer, cleaning of the print cartridges should be part of your maintenance routine. These ink cartridges contain tiny jets that are used to spray the ink on the paper, and over time some of those jets can become clogged. These clogged jets will cause printing to become uneven, and they may cause the color balance to be off as well. By taking the time to clean the cartridges, you can lengthen their life while getting more out of your printer.

Many printers include a handy utility to clean the cartridges with just a couple of clicks. These utiliites are designed to clean and align the print cartridges through an easy-to-use interface, without the need to remove the cartridges from the printer.

Examine the Toner
If you own a laser printer, it is important to keep a close watch on the toner cartridge, especially if the quality of print has decreased. The toner could be getting empty, or it may have even sprung a leak. To check the condition of the toner cartridge, lift the door that covers the cartridge and carefully lift it free of the printer. Look inside the printer where the toner cartridge was; if you see black spots inside the toner, it is likely that the cartridge is leaking and needs to be replaced. Use a soft, lightly moistened cloth to remove any loose ink and then install a replacement cartridge. You can also use a hand vacuum cleaner with a crevice attachment to suck up the loose ink; just be sure you do not scratch the metal pieces inside the printer.

Check the Rollers
If your printer has more than one print tray, it is important to watch for paper feeding problems. If the paper is jamming or not feeding from a particular tray it may be time to change the tray rollers. These rollers will wear smooth over time, and when they are too slick they will no longer be able to grab the paper properly.

To change the rollers, pull the tray out until it is free of the printer, then locate the rollers and carefully pull them loose from the prong. Slide the new rollers onto the prong and push them until they lock into place. Then replace the tray and try your print job again.
