Troubleshoot basic printer problems

Overview

QuickBooks may not print may fail to print correctly for a variety of reasons. This article describes how to determine if the printing issue is occurring in Windows or in QuickBooks and provides steps for solving the most common printing issues.

Detailed Instructions





Test the printer outside to ensure that it is working correctly in Windows:

1. Turn of the printer, restart your computer, and then turn the printer back on.
2. Ensure that the printer paper is loaded correctly.
3. Click the Windows Start button, choose Control Panel, and double-click Printers and Faxes.
4. If the printer shows Offline, right-click the printer and select Use Printer Online.
5. Double-click the printer and, if there are print jobs displayed in the queue, choose Printer > Cancel All Documents.
6. Close the window.
7. Right-click the printer, choose Properties, and click Print Test Page.


Note: If the printer is a network printer and the test page does not print, network issues could be the cause


8. If the test page prints, test the printer using Wordpad:
1. Click Start and choose Run.
2. Enter Wordpad and click OK.
3. Enter some text and choose File > Print.
4. Select the correct printer and click Print.
5. Ensure that there are no error lights displayed on the printer itself.
6. Refer to the printer manufacturer's documentation for any of the following:
* The printer displays error indications.
* The printer will not print the test page.
* The printer doesn't print from Wordpad.

If the printer prints correctly:

1. Open the QuickBooks sample company and try to print the same form or type of form. If it prints successfully, your company data, form template, or customized report may be damaged.
2. Reopen your company file and try to print an uncustomized (standard/default) form template or non-memorized report. If the issue occurs again, refer to Verifying and rebuilding the QuickBooks company data and then attempt to print again.
3. If you were printing a batch of forms in QuickBooks, attempt to print a single form. If successful, try printing smaller batches.
4. If you were able to print from QuickBooks in the past from this company file:

     1. Turn off the printer, restart your computer, and then turn the printer back on.
     2. In QuickBooks, choose File > Printer Setup and check the printer settings for the specific form you're trying to print.
     3. Click Help in this area for more detailed instructions on these settings.
5. Ensure that you have the latest printer drivers for your printer. Go to the manufacturer's website to download and install the most current drivers.
6. Replace the QuickBooks Qbprint.qbp file:

   1. Close QuickBooks.
   2. Rename the qbprint.qbp file.
   3. Open QuickBooks and attempt to print again.
7. If the issue persists, repair the QuickBooks installation.
